Privacy Policy

1 Who We Are and What This Policy Covers
Claxon Presents is the culture and events brand of Claxon Tournaments Pte. Ltd. (UEN 202134509D), 68 Circular Road #02-01, Singapore. In this policy, “we”, “us” and “our” mean the company acting through Claxon Presents.
This policy explains how we handle personal data when you book or attend an event, act as a parent or guardian, join the Claxon Creators Network, take part in a campaign or contact our team. It covers our work at events we host, co-host or deliver with others.
We explain why we need your information when we collect it. We use and share it for those purposes with your consent or where the law otherwise permits or requires it. We ask separately if a new use requires your permission.
2 Guests, Parents and Bookings
- Bookings and guestlists. When you or an authorised group organiser books for you, we may receive your name, email address, phone number and booking details. We use these to manage your booking, check you in and send necessary event updates. For a young guest, we may also need a parent’s or guardian’s name, contact details and confirmation of approval.
- Who sees the guestlist. The booking platform collects the details entered on its form. Our event staff and the host venue may access the names and contact details of guests, parents or guardians as needed to match a booking, confirm identity or resolve an admission issue.
- Age and identity checks at the door. Door staff may look at your ID to check your identity or age. For these checks, staff may only inspect the ID. They may not keep the document, photograph or scan it, or write down or store details displayed on it. If staff cannot confirm eligibility, the venue may decline entry.
- Young guests. Where the law requires a parent’s or guardian’s consent to use a young person’s data, we obtain that consent. Parents and guardians can contact our Data Protection Officer about their own details or a child’s information.
3 Event Updates and Marketing Choices
If you book an event, we may contact you about entry, a change of venue or a cancellation. If you ask us to tell you when tickets go on sale, we use your contact details for the update you requested.
- Marketing from Claxon Presents. You can choose at registration to hear from us about future events, offers and promotions. If you agree, we may send those messages through the channels you select until you opt out. You can register and attend without choosing marketing.
- Marketing from venues and event partners. Before we share guest details for marketing, we identify the venue or event partner, explain which contact details it will use and obtain any consent required for that purpose. Marketing is optional. You can book and attend if you decline.
- Parents’ and guardians’ details. Giving us a contact for a child’s booking does not enrol that adult in marketing. The parent or guardian makes their own choice about marketing from us, a venue or an event partner.
- Changing your choice. Each marketing email from Claxon Presents, a participating venue or an event partner will include an unsubscribe option. For marketing through another channel, the sender will explain how to opt out through that channel. Your request applies to marketing from that sender through the channel you select. If you need help, email dpo@claxontournaments.net. You can opt out of promotions and still receive necessary updates about an event you booked. We follow applicable Singapore Do Not Call requirements for promotional messages to Singapore telephone numbers.
4 Creators, Clients and Product Deliveries
- Campaign matching. If you join the Claxon Creators Network or express interest in a campaign, we may share your creator profile name and social media profiles with the relevant client so the client can assess your fit for the brief. The client may see information you have made public on those profiles.
- Agreed work and payment. If you accept a brief, we use the contact, engagement and payment details needed to coordinate the work and pay your agreed fee. Our authorised staff and payment providers may access the details needed for their tasks.
- Product delivery. If a client needs to send a product, we ask your permission before sharing your residential address. We tell you who needs it and why. You may instead give us a preferred delivery address or propose another delivery method. We will confirm which arrangements are available before sharing the details needed to deliver the product.
We treat delivery instructions and payment details separately from the profile information used for campaign matching. Clients and delivery providers receive only the information needed for the agreed arrangement.
5 Photos, Videos and Event Marketing
We may photograph or film public event activities and use identifiable images, voices and footage in Claxon Presents marketing. This includes event posters, wrap reels, social posts and promotion of future events. We give appropriate notice and obtain consent, including guardian consent where required.
- Who can use the footage. Our authorised photographers, editors and production partners may work with event media on our behalf. Our coverage may show sponsor logos. We do not give sponsors permission to use our event images or footage in their advertisements.
- Questions at the event. Speak to the event lead if you have a concern about being photographed or filmed. We can discuss practical options for the session or area you are attending.
- Published images. To ask about an image or withdraw consent, email our Data Protection Officer with the event name and a link, screenshot or timestamp. We will review material under our control, explain what action we can take and address future use as required by law. Copies already distributed or shared by others may be outside our control.
6 Other Information and Who Can Access It
- Website and community activity. Website tools may collect technical and usage information to operate and improve our site. When you message us or report a concern, authorised staff use the details you provide to respond, protect people and review the issue. We limit access to those who need it.
- Event and service partners. We share information with ticketing, venue, production, delivery and payment partners to the extent needed for the purposes explained above. A provider that independently collects information through its own form or service may also have its own privacy notice.
- Legal requests. We comply with binding orders from relevant authorities and disclose the information required by the order. We may also use or disclose relevant information where permitted by law to address a claim or obtain professional advice.
7 Security, Overseas Transfers and Retention
We take reasonable steps to protect your personal data, including limiting access to the people who need it. If a provider handles data outside Singapore, we put arrangements in place to meet applicable transfer requirements and provide protection comparable to that required under Singapore’s Personal Data Protection Act.
We review records according to their purpose. Guestlists may be needed to resolve booking issues, delivery details to complete a shipment, and financial records for accounting or tax obligations. We review archived event media against its continuing purpose and any withdrawal request. We securely delete personal data or remove identifying links when we no longer need it for a legal or business purpose.
We assess suspected data breaches promptly and notify Singapore’s Personal Data Protection Commission and affected people where legally required.
8 Your Choices and Privacy Contact
You can ask us to access or correct your personal data, explain how it was used or shared, withdraw consent on reasonable notice, request deletion or raise a concern. Email dpo@claxontournaments.net privately. Include the event or campaign name and enough detail to locate the record.
We may verify your identity or your authority to act for someone else. We will explain any permitted access fee in advance. We respond to access and correction requests as soon as reasonably possible. If we cannot complete a request within 30 days, we will tell you in writing within that period when we expect to respond.
If you withdraw consent, we explain the likely consequences and stop the relevant use or disclosure, including by providers acting for us, unless the law permits or requires it to continue. Legal exceptions and other people’s privacy may affect what we can release or delete. You may also raise a concern with the relevant regulator.
We date revisions and give notice of material changes through appropriate channels. For private submissions, contact our Data Protection Officer at dpo@claxontournaments.net or write to Claxon Tournaments Pte. Ltd., 68 Circular Road #02-01, Singapore.
