1 Our Commitment

We at Team Claxon encourage our members to stay future-ready by using artificial intelligence (AI) where it helps us work more efficiently. When you see a Team Claxon poster, watch one of our event recaps or read one of our campaign headlines, the creative work behind it comes from people. We recognise how AI can affect the livelihoods of creative professionals and how an altered image or recording can harm a guest’s dignity or misrepresent their experience. These concerns guide the work we entrust to people and the care we take with our guests’ images and voices.

“Team Claxon” refers collectively to Claxon Tournaments and Claxon Presents. This policy covers operations we control under either brand, including our events and the work we create, commission, publish or approve. For shared events and campaigns, it covers the activities and deliverables we manage. We explain these requirements to collaborators in the brief.

Our partners, clients and guests make their own choices about AI in their independent activities. Attending an event or working with us does not bring their unrelated projects, personal posts or wider operations within this policy. Section 5 explains how we handle advertisements that sponsors or clients supply for us to display.

2 Where We Encourage AI

  • Workflows. Our team may use AI to organise schedules, build checklists, automate repetitive tasks and structure an event run sheet.
  • Documents and reports. Our team may use AI to draft routine correspondence, summarise authorised notes, organise research and prepare reports. The person using the tool checks the facts, figures and wording before anyone relies on them.
  • Presentations. Our team may use AI to structure slides, turn figures into a table or draft speaker notes. If a slide becomes an advertisement, the creative elements intended for publication follow section 4.

The purpose of the work determines which rule applies. For example, our team may use AI to draft a factual briefing for a DJ night. Our copywriter writes the campaign headline that invites people to attend.

3 Mockups and Drafts

Our team may use AI to explore layouts, sketch a storyboard or create a rough visual to explain an idea to a creator, client or production partner. We label it “AI-assisted concept — for discussion only” and share it only with the people working on the brief.

Once the team agrees on a direction, a human creator builds the final work using original or appropriately licensed material. For example, a designer may use a mockup to discuss where a performer and event title could sit on a poster. The designer then selects the actual photograph, creates the layout and sets the final type. AI-generated elements from the mockup stay out of the published file.

4 Creative Work Team Claxon Produces or Commissions

  • Advertising and event artwork. Human creatives design our posters, banners, illustrations, thumbnails, paid ads and public-facing campaign graphics.
  • Video and audio. Human creators shoot, perform and edit our trailers, promotional videos and wrap reels. We do not use generated footage, synthetic performances or cloned voices as creative material in the final release.
  • Outreach copy. Human writers create the final headlines, promotional captions, scripts and other campaign copy. A human approving an AI-generated advertisement is not enough to meet this commitment.

Our editors may use technical tools to transcribe speech, check spelling, convert files or reduce background noise. For example, an editor can clean up an interview recording so you can hear what a guest actually said, then check the subtitles against the recording. Our editors may not invent a quote, change a guest’s expression, generate crowd reactions or add people to make an event look busier.

5 Advertisements Supplied by Sponsors and Clients

Sponsors and clients choose how to create their own advertising. If an advertiser asks us to display an AI-generated poster or video it supplies, we may accept the placement. We will endeavour to offer a human-made version using our in-house creative team. The advertiser may choose to keep its original imagery.

If we carry the original, we identify the advertiser and clearly label the advertisement as AI-generated wherever it appears. For example, a poster supplied by a sponsor called Acme would carry the label “AI-generated advertisement from Acme”. We place the disclosure on or immediately beside the poster. For a video, we display it clearly on screen from the start so viewers can see it even with the sound off.

This exception covers displaying the advertiser’s own material. Work the advertiser asks Team Claxon to create or commission follows section 4. Our pledge to guests also applies when we decide whether to carry a supplied advertisement.

6 Our Pledge to Guests

We will never use AI to alter or edit a guest’s picture in a demeaning way. This pledge applies to ideas and mockups as well as published work.

Our team will not use AI to sexualise or ridicule a guest, manipulate their face or body to embarrass them, or fabricate an action, statement or endorsement. Permission to photograph someone at an event does not give us permission to make a synthetic version of them.

Before putting identifiable guest material, private creator information or an unreleased client brief into an AI tool, our team checks that the use is authorised and that the tool is approved for that information. For early visual concepts, our team can use fictional stand-ins instead of identifiable guests.

7 Who Checks the Work

The person preparing an item tells the Team Claxon lead how AI was used and who supplied the material. For creative work we produce or commission, the lead checks that a human created the final creative elements, concept imagery has been removed and the team has permission to use the assets. For an advertisement supplied under section 5, the lead checks the advertiser’s identity, our permission to display the asset and how the disclosure will appear to the audience. If the source or permissions are unclear, we pause publication until we can verify or replace the material.

If you believe work published or commissioned by Team Claxon breaches this policy, email events@claxontournaments.net with the event or campaign name and a link or screenshot. For a concern about your image or sensitive personal material, email dpo@claxontournaments.net privately. We will review the material and correct, replace or remove work under our control where appropriate.
